Procedures for Conference Registration &
Hotel Reservations

Those wishing to attend the conference are requested to follow the procedures below.

All conference participants are required to complete registration using the online application form by no later than January 20, 2004.
Invited speakers, keynote lectures and plenary lectures are also requested to register. No on-site registration will be accepted. Applications will be accepted on a first-come and first-served basis.

Conference Registration

1. Conference Registration Fee
Regular participants 50,000JPY (tax included)
The registration fee includes the following;
1. Participation in all official conference programs
2. Breakfast on April 12, 13 and 14
3. Lunch on April 12, 13 and 14
4. Dinner on April 11, 12 and 13(including the banquet on 13)
5. Conference Program and Abstracts

Students 30,000JPY (tax included)
The registration fee includes the following;
1. Participation in all official conference programs
2. Breakfast on April 12, 13 and 14
3. Lunch on April 12, 13 and 14
4. Dinner on April 11, 12 and 13(including the banquet on 13)
5. Conference Program and Abstracts

Note: Students who want to obtain the above student rate must;
1. Submit proof of their status such as a photocopy of a valid student ID card or a letter from the dean, department head or research director with a signature.
2. Make a presentation at a poster session.
3. Less than 35 years old.

Accompanying Persons 20,000 JPY (tax included)
The registration fee includes the following;
1. Breakfast on April 12, 13 and 14
2. Lunch on April 12, 13 and 14
3. Dinner on April 11, 12 and 13(including the banquet on 13)

Note: If you will not register before January 8, 2004, your papers will not be included in the proceedings.

2. Young Scientist Award & Travel Award
1) Applicants for “Young Scientist Award” should;
•Register before January 20, 2004. Please show your intention for application for “Young Scientist Award” by ticking in the box of the on-line registration form.
•Send a proof with a signature of the professor of your department showing that you will not receive or have not received a fellowship from other institutions.
•Send a Photo-ID proving that you are less than 35 years old.
•The selection will be conducted by the select committee members during the conference and award winners will be announced on the occasion of the Congress Dinner on April 13.

Note:
1) Either a general participant or a student can apply.
2) If you reserve a room at the Hotel MIRACOSTA, you cannot apply.
3) The “Young Scientist Award” will be presented to several excellent papers.

2) Applicant for “Travel Award” should;
•Make registration before January 20, 2004. Please show your intention for application for “Travel Award” by ticking in the box of the on-line registration form.
•Be an overseas participants
•Send a proof with a signature of the professor of your department showing that you will not receive or have not received a fellowship from other institutions.
Note: “Travel Award” will be given to participants who completed registration procedures before January 20, 2004. Also, invited speakers from overseas will be selected through preliminary reviewing process which will take place before the conference.

Hotel Application

•The secretariat will reserve hotel rooms at the Hotel MIRACOSTA. Please understand that the secretariat will not arrange other accommodations.
•Package room rate including accommodations for April 11, 12 and 13, 2003 will be provided.
•No one-day rate or two-days rate will be available through the secretariat.
•The package room rate is strictly limited to three days from April 11 through 13, 2003.
•The following two room types are available;
Single Occupancy of a room--------------140,000 Japanese yen(tax included)
Double Occupancy of a room-------------70, 000Japanese yen(tax included)

•All room sizes are 37m2.
•The above rates include only rooms.
•We have secured smoking rooms but they are limited. Please understand that we may not be able to accommodate all requests.
•If sharing a room, please write the name of the person sharing the room with.
•If sharing a room, both parties must specify the correct name of the other party during application. If names do not match, a single occupancy rate will be applied.

Payment
Payment is accepted only by credit card. No other methods of payment are acceptable. All payments must be made in Japanese yen.

Cancellation
All cancellations must be made in writing and addressed to the secretariat in advance.
Refunds will be made as follows;
•Cancellation before January 31, 2004------50% of the registration fees refunded.
•Cancellation before March 31, 2004---------20% of the registration fees refunded.
•Cancellation after April 1, 2003 --------------No refund.
Note: Refunds will be made after the conference.
